Create Rules for New Hires to Receive Engage Surveys
Engage is designed to collect any feedback from any employees at any time. To get the most honest and consistent feedback, you’ll want to make sure you’re sending the most relevant and timely questions, this shows employees your surveys are intentional. For example: You’re planning to send a survey to the whole company asking about your company’s goal-setting process from last year, but this survey will not be relevant to the new hires who were not present at the company for that process.
Setting up rules for Engage surveys gives you control over when your new hires will start to receive Engage surveys. This will help ensure that Engage survey participation is relevant to your new hires, and your Engage surveys will receive accurate feedback data.
Configuring New Hire Rules
To configure the rule, go to Settings > Platform, and click on the Engage Survey Rules for New Hires tile.
By default, new hires will receive Engage surveys 30 days after their start date.
To change this, click on the Edit icon.
Update the number of days you want your new hires to receive the Engage surveys from their start date.
If you want your new hires to receive the Engage surveys from their first day, update the number to 0.
Click on Save to save the new rules.
(!) Note:
- If new hires do not have a start date set, this rule will not apply to them. In such cases, they will automatically receive Engage surveys, regardless of the settings you've configured.
- For organizations using Onboard, please note that this setting operates independently of Onboard. It is driven by the new hires’ start date, not their Onboard status.
- If your organization also uses Cheers and Suggestions, new hires will still be able to send and receive cheers and post anonymous suggestions, regardless of when they start receiving Engage surveys.
- Additionally, these rules can be overridden on a case-by-case basis by using the "Include New Hires under Engage Survey Rules" feature when setting up your Engage survey.
Include New Hires under Engage Survey Rules
Engage Survey Rules for New Hires setting helps you set a default rule to exclude new hires during their onboarding period so that only the most relevant surveys are sent to them. However, there will be surveys that you want to make an exception. For example, a survey asking about the benefits program for the upcoming year can be sent to all employees, including the new hires.
You can choose to overwrite the default rule under “Engage Survey Rules for New Hires” setting when you set up an Engage survey.
To do this, when you're creating a new Engage survey, click the Audience section.
Within the Audience settings, you will find a checkbox labeled “Include New Hires under Engage Survey Rules.” By default, this option is unchecked, meaning Engage surveys are not sent to new hires until the specified number of days after their start date, as defined in the Engage Survey Rules for New Hires.
To ensure that new hires receive the Engage survey, simply check this box.
(!) Note:
- The new hires will still need to meet all other attribute conditions to be able to receive the survey.
- This setting in the Engage survey set up is only available for super admins and admins. For group admins, the setting will be displayed but not editable. This is so group admins still have visibility into the audience setting of the survey.
When reviewing a draft, published, active, or completed survey, you can find the "Include New Hires" setting information under the Survey Details section. This allows you to verify whether new hires are included according to the survey rules you've set.
